Using GPT to Build a Real Content Distribution Plan That Does Not Fall Apart

I’ve lately been forcing myself to stop manually copy-pasting social posts into Slack, Notion, and my four newsletter draft folders… just because I forgot again to post that blog I wrote last week. So I decided to see how far I could get using GPT to *fully* create and manage a content distribution plan. Spoiler: It kind of worked, but only after five failed attempts, one broken Zap, and talking to GPT like it’s an intern who’s scared to make decisions.

Here’s everything I ran into.

1. Starting with nothing actually works better

I used to start content distribution planning with a giant Notion table: platforms, image types, character count limits, best times to post, etc. But that made it super bloated and hard for GPT to do anything useful with all at once. So one day, I just started a prompt like:

“Can you generate a 7-day distribution plan for this blog post: [pasted text]”

GPT responded with a decent high-level plan — Twitter thread on day 1, LinkedIn post on day 2, newsletter mention with new commentary on day 4, etc. Not perfect, but it got the format right. That prompt only worked well when I didn’t burden it with too much structure up front. Once I tried adding predefined constraints (like: always cross-post Reels to TikTok), GPT got stuck trying to look smart instead of being useful.

What worked better was having GPT spit out suggestions first, then I layered my platform logic onto its outputs manually.

I had this change of heart after three failed attempts to get GPT to remember all the sections of my Notion schema while writing tweets. I’d say:

“Write a tweet thread using section id 3a from my Notion database (audience POV: productivity nerds, format: niche meme + quote).”

Every time, GPT went off-track or hallucinated sections. So I finally gave up and just pasted the actual paragraph in. It was less sexy, but it gave way more usable results 🙂

2. Asking GPT to generate metadata will break it

So I got smart (or so I thought) and tried having GPT generate internal metadata while writing the post so I wouldn’t have to backfill it. This created wild bugs.

If I said:

“For each output, include a HEX color tag, an internal tag category, sentiment rating, CTA type, and target persona in JSON format.”

It would either:
– Randomly reuse the same fields over and over (no variety beyond ‘growth’ and ‘founders’), or
– Completely overfit the tone like: “Persona: Quirky but ambitious dental tech CEO in midtown.”

There was never an in-between.

Also, it messed with my Airtable parsing Zap because the generated JSON almost always had syntax issues. Commas in the wrong place, mismatched brackets, even one case where the ‘cta_type’ was just: `subscribe, jason.` 😅

After crying a little, I just stripped out the fields and moved them to a separate step.

3. How I built auto-posting and hit rate limits fast

Once I had GPT giving me decently varied post content, I connected it to a Make scenario that:

1. Parsed GPT’s output (Google Doc > webhook)
2. Extracted content blocks using a GPT step inside Make (yep, GPT inside Make is real now)
3. Posted to Twitter, LinkedIn, and queued the rest in Buffer

The surprising bottleneck was the Make GPT module itself. It failed silently when text blocks were over a certain length. No error messages or buffer warnings — it just didn’t trigger the downstream router.

After like an hour of testing, I realized the input was almost always over 1,000 characters once GPT added hashtags and CTAs. So I added a GPT step just to trim the length, and suddenly everything worked. But let me tell you: debugging a no-error flow where nothing looks broken but somehow nothing posts… drives you to some very dark places 😵‍💫

Fun fact: If you hit OpenAI’s soft rate limit by running too many of these back to back, subsequent Make runs will just stall. No retries, and no helpful logs. You’ll just sit there watching the spinner forever. Sigh.

4. The newsletter angle GPT kept getting wrong

When I asked GPT to write newsletter blurbs to promote blog posts, it always defaulted to these overly cute little intros like:

“Ever wondered what bees and batching tasks have in common? Find out below 🐝”

I’d roll my eyes so hard my contact lenses would shift. But even when I added things like:

“Tone: functional and brutally honest”

GPT would still sneak in phrases like “Let’s peel back the curtain” or “Prepare to laugh and learn.” It felt like fighting a toddler who found their favorite crayon.

Real fix? I just gave it literally my last five newsletter intros and said: “Match this tone exactly. Reuse specific phrasing if needed.” Suddenly it clicked.

GPT does a lot better with mimicry than abstract instructions. Saying “match tone X” doesn’t work. Giving it samples does.

5. What I actually ended up automating in Notion

Eventually, I landed on a setup where GPT output fed directly into a Notion drag-and-drop board. One mistake I made early: I tried having GPT build new Notion pages directly via Zapier. That made a complete mess.

The field mapping was fine until I used nested callouts in GPT output. Zapier doesn’t recognize Notion’s rich text block structure correctly when callouts or toggles are involved. Instead of nice formatting, I ended up with huge broken code blocks that couldn’t be edited normally inside Notion.

So, my real-world fix:

I had GPT output content as regular text blocks with basic Markdown hints (like `##` and `*`). Then I pasted that into a single field like `Content_Seed`. The rest of the metadata (platform, timing, variant ID, etc.) was populated via Zapier.

Afterward, I’d use Notion’s built-in templates to convert that field into more formatted versions manually once I reviewed them. Yeah, I had to do a quick format pass myself, but it prevented all the rich text sadness.

6. Why GPT is bad at spacing things out

A person looking confused while examining a computer screen filled with poorly spaced text generated by GPT, pointing at the issues highlighted on the document.

The biggest gap with using GPT in content planning isn’t creativity — it’s spacing.

If you ask GPT to generate content for 5 platforms across 7 days, it will disproportionately load day 1 and 2 with all the good stuff and then sputter out. Even when I said:

“Space these out so key ideas are reused later in the week, not all frontloaded.”

It still tried to dump the “main messaging” on day 1 and then recycle fluff.

So I built an extremely dumb workaround:

I asked GPT for 10 variations of each key insight first. Then, manually assigned those into slots inside a distribution timeline. Only once that was locked did I feed those variations back into GPT (one by one) asking for tailored platform versions.

Like:

“Here’s a key idea: AI can’t handle tone mimicry without real samples. Create a Tweet and companion LinkedIn post for Tuesday and Thursday.”

That forced it to talk about one thing at a time without collapsing into repetition or message overlap. Felt very brute-force, but that approach helped me avoid schedule cannibalization — where the Monday post ruins the punchline for Thursday’s post. 😬

Also, the Twitter character count cap messed with GPT’s formatting way more than I expected. Hashtags would break words midway, sentence fragments would get clipped with no punctuation, etc. One time the actual post ended mid-word: “Ship crazy ideas without waiting for pottent”

(I assume that was “potential”? But who knows what a pottent is…)
